At the Water Management Society we are committed to maintaining the trust and confidence of our visitors to our site, members and subscribers to our newsletter. Here you will find information on how we treat data that we collect from visitors to our website, or when someone subscribes to our newsletter, applies for membership or books onto an event or training course.


Visitors to our website

When someone visits www.wmsoc.org.uk we use third party services, Google Analytics and Awstats, to collect standard internet log information and details of visitors' behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google or Awstats to make, any attempt to find out the identities of those visiting our website. If we do want to collect personally identifiable information through our website, we will be up front about this. We will make it clear when we collect personal information and will explain what we intend to do with it.


Applications and Bookings

When we receive a membership application, event or training booking via the WMSoc website, all of the information is collected using secure SSL forms and uploaded documents are then placed on secure offline servers. Applications are stored securely and not shared with any third parties.

If you have provided credit card details, these will only be used for the purpose of handling an individual booking or order.


Newsletter Sign Up

As part of the registration process for any of our e-newsletters, we collect personal information. We use that information to tell you about things you have asked us to tell you about; to contact you if we need to obtain or provide information; to check our records are right and to check every now and then that you are happy and satisfied. We do not rent or trade email lists with other organisations and businesses.

You can unsubscribe to general mailings at any time of the day or night by clicking the unsubscribe link at the bottom of any of our emails or by emailing admin@wmsoc.org.uk


How your Personal Data is kept confidential

In order to protect your personal data and to maintain its quality, we use Secure Sockets Layer (SSL) encryption when collecting or transferring sensitive data, such as credit card details. SSL encryption is designed to make the data unreadable by anyone but us.

We also have measures in place that limit the access to your information. Only the data controllers and processors who need to come into contact with that data, to provide products and services to you, will do so. Our database system has high security measures in place and all activity on your records is password protected.

For individual members of The Water Management Society, The Water Management Society operates a ‘legitimate interest’ approach in processing the personal data that it receives from individual members to administer service provision, surveys and information deemed relevant.

This includes but is not restricted to the following areas:

  • Administering and managing individual membership of WMSoc (e.g. for the purposes of auditing a membership application, internal communication and administration of membership, implementing financial transactions relating to membership, understanding and building profiles of WMSoc members, attendance histories, etc).

Additionally, the ‘legitimate interest’ approach is operated in the processing and distribution of personal data of designated Water Management Society officials, staff members, sub-contractors and other relevant industry stakeholders in order to administer the service provision.

Without the ability to process the Personal Data of members, The Water Management Society is unable to arrange or administer the paid for and subscribed services and informational expectations that are offered as part of membership.

Individuals are able to opt-out of receiving any specific types of communication at any time by emailing admin@wmsoc.org.uk, or by updating their preferences via the member’s portal.

If an individual has not directly provided their personal data to The Water Management Society, (i.e. it may have been disclosed by an employer’s member of staff during the membership process or course booking.) it is the employer’s responsibility for ensuring that the individual has been informed of how their data will be used.

By registering or allowing the registration of your personal data with The Water Management Society, either personally or by a designated company participant either through the website or in any other way, the individual agrees to The Water Management Society processing their personal data for specific purposes, including the areas already outlined in this statement.

The Water Management Society will on occasion use member contact details to keep them informed by post, email or telephone of additional products or services and developments which may be of interest to members . Please note that these details may continue to be used after membership has ceased, unless notified by the relevant member.

For individuals who are not members of The Water Management Society

The Water Management Society operates an ‘explicit consent’ approach to the processing of the personal data it receives from non-member individuals.

This typically applies to those individuals that have expressed an interest in finding out about membership or have submitted an enquiry including training courses, complaints, or have had their details passed on as part of a training booking.

This means that The Water Management Society will not subscribe such individuals to receive any type of promotional communication unless they have voluntarily given their consent to receive updates from The Water Management Society at the time when the enquiry was submitted.

Once consent is given, individuals can opt-out from receiving further communication at any time by emailing admin@wmsoc.org.uk.

Direct communication to the individual from The Water Management Society to progress a lead enquiry will occur independently from promotional marketing activity until the lead / enquiry has been converted or alternatively the lead subject has advised that they are no longer interested in receiving communications from The Water Management Society.
